A continuación, se describen las bases de la convocatoria de ayudas concedidas por la SEPEX para la organización de eventos científicos durante el año 2026. La participación en la presente convocatoria implica la aceptación de estas bases.
Solicitantes
Podrán solicitar la ayuda los miembros titulares de la SEPEX que deseen organizar una actividad científica durante el año 2026. Si las personas solicitantes no son miembros titulares en el momento de la solicitud, deberán obtener dicha condición antes de recibir la ayuda. La solicitud podrá presentarse en español o en inglés.
Objeto
La ayuda se destinará a financiar los gastos asociados a la organización de una actividad científica (por ej., una conferencia, un seminario o un taller). También se podrá sufragar parte de los gastos de las personas asistentes que sean miembros asociados de la SEPEX.
Cuantía
La cuantía de las ayudas concedidas dependerán de la situación económica de la SEPEX y del número de solicitudes recibidas cada año. Como referencia, se concederá un máximo de 1000 euros por solicitud.
Criterios de concesión
La evaluación de las solicitudes se realizará teniendo en cuenta el ajuste entre el evento planteado y el ámbito de actividad de la SEPEX. Se considerará como criterio importante para conceder la ayuda que la temática del evento científico para el que se solicita esté alineada con los objetivos y fines de la SEPEX, expresados en el Artículo 2 de los Estatutos.
No se financiará más de una actividad (conferencia, seminario o taller) dentro de un mismo evento científico. Una misma entidad o grupo solicitante podrá solicitar más de una ayuda, siempre y cuando estas sean para congresos o eventos diferentes. La Junta Directiva de la SEPEX será responsable de ajustar la concesión de las ayudas de manera equitativa en función del número de solicitudes, aplicando criterios de diversidad y considerando el coste estimado de cada actividad para la que se solicita financiación.
Aunque no es requisito para recibir la ayuda, se propone a los comités organizadores de las actividades financiadas que incluyan el logo y el nombre de la SEPEX en el programa y la página web, como reconocimiento a la ayuda recibida.
Presentación de solicitudes
Las solicitudes deben realizarse a través del documento de solicitud y deben ser enviadas por correo electrónico a secretaria.sepex@gmail.com
Plazo de solicitud
El plazo de envío de solicitudes permanecerá abierto desde el 27/11/2025 hasta el 15/12/2025 (ambos incluidos), y serán resueltas durante el mes de diciembre de 2025.
Concesión y justificación de la ayuda
La resolución de concesión se notificará a la persona solicitante. La persona solicitante se compromete a enviar el programa del congreso o evento científico en el que figure la actividad financiada durante el año 2026, que será requisito para hacer efectiva la ayuda económica. La no recepción de dicho programa durante el año 2026 se entenderá como renuncia a la ayuda. Al participar en la presente convocatoria, la persona solicitante acepta presentar documentación justificativa en el caso de que sea requerido para ello por la SEPEX.
Cancelación o aplazamiento
En caso de que se cancele el evento objeto de la ayuda, la SEPEX no ingresará la cuantía asignada. Si ya se ha procedido al ingreso de la ayuda, los comités organizadores deben devolverla. Si se aplaza la actividad, se mantendrá la ayuda, pero los comités organizadores deberán informar a la SEPEX del cambio de fecha y acreditar que se mantienen las actividades objeto de la ayuda.

The following describes the rules for the call for grants awarded by SEPEX for the organization of scientific events during the year 2026. Participation in this call implies acceptance of these rules.
Applicants
Full SEPEX members (miembro titular) who wish to organize a scientific activity during the year 2026 may apply for the grant. If the applicants are not full members at the time of application, they must obtain this status before receiving the grant. Applications may be submitted in Spanish or English.
Purpose
The grant is intended to cover expenses associated with organizing a scientific activity (e.g., a conference, seminar, or workshop). It may also be used to cover part of the expenses of attendees who are associate members of SEPEX.
Amount
The amount awarded will depend on SEPEX’s financial situation and the number of applications received each year. As a reference, a maximum of 1.000 euros will be awarded per application.
Award Criteria
Applications will be evaluated based on the alignment between the proposed event and SEPEX’s field of activity. An important criterion for awarding the grant is that the theme of the scientific event for which the grant is requested aligns with the objectives and purposes of SEPEX, as stated in Article 2 of its statutes.
No more than one activity (conference, seminar, or workshop) within the same scientific event will be funded. A single entity or applicant group may request more than one grant, provided they are for different conferences or events. The SEPEX Board of Directors will be responsible for allocating the grants equitably based on the number of applications, applying diversity criteria and considering the estimated cost of each activity for which funding is requested.
Although not required to receive the grant, organizing committees of funded activities are encouraged to include the SEPEX logo and name in the program and on the website, as acknowledgment of the support received.
Submission of Applications
Applications must be submitted using this application form and must be sent by email to secretaria.sepex@gmail.com.
Application Period
The application period will be open from 27/11/2025 to 15/12/2025 (both inclusive), and resolutions will be issued during December 2025.
Grant Award and Justification
The award decision will be communicated to the applicant. The applicant commits to sending the program of the conference or scientific event that includes the funded activity during the year 2026, which will be required in order to make the payment of the grant effective. Failure to provide this program during 2026 will be understood as a renunciation of the grant. By participating in this call, the applicant agrees to submit supporting documentation if requested by SEPEX.
Cancellation or Postponement
If the event for which the grant was awarded is canceled, SEPEX will not issue the assigned funds. If the grant has already been paid, the organizing committees must return it. If the activity is postponed, the grant will be maintained, but the organizing committees must inform SEPEX of the new date and certify that the funded activities will still take place.
